Here are my top tips to ensure your VA becomes a valuable asset to your business:
Define Clear Goals & Expectations
Before your VA starts, be crystal clear on what you need support with. Outline tasks, priorities, and the level of responsibility you expect them to take on. The clearer you are, the smoother the onboarding process will be.
Start with a Solid Onboarding Process
An experienced VA will have their own onboarding process, don't be afraid to ask how they get up to speed to support you. Make sure you give your VA the tools they need to succeed. In onboarding is the time to give your VA access to relevant systems, introduce them to your way of working, and set up a clear communication process. A little effort upfront saves time (and frustration) down the track.
Communicate Effectively & Regularly
Your VA isn’t a mind-reader - although sometimes we actually are! We hone our crystal balls and actually can be one step ahead of you if we need. BUT, to it is important to have regular check-ins, clear instructions, and open communication ensure they stay on track and feel confident in their role. My fave tools are applications such as Slack, Asana, or Trello to keep things organised. If you don't have a tool, we can also provide guidance on the best tool for you!
Document Processes for Consistency
If you want tasks done a certain way, document them! But don’t stress if you don’t have everything written down, your VA can even help you set up processes and create SOPs for you. This not only ensures consistency but also makes delegation easier over time.
Trust & Delegate Properly
Please don't micro manage your VA! f you’re constantly checking over every detail, you’re not really saving time. Start by delegating small tasks and gradually increase responsibility. Trust your VA to do their job so you can focus on yours.
Be Open to Their Expertise
A great VA does more than just tick off tasks, they bring fresh ideas, insights, and efficiencies to your business. Be open to their suggestions and let them help you work smarter, not harder.
Give Constructive Feedback
Regular feedback helps both you and your VA refine the working relationship. If something isn’t working, address it early and collaboratively. In the first few months, feedback is so vital. Once you are all up and running smoothly this can lessen over time. But positive and constructive feedback goes a long way to building that relationship.
Treat Them as Part of Your Team
Even if your VA is remote, they’re still a key part of your business. Include them in wins, acknowledge their contributions, and build a strong working relationship.
A VA can be a game-changer when you approach the partnership the right way. With clear expectations, strong communication, and a willingness to delegate, you’ll get the best out of your new support system—allowing you to focus on growing your business.
